McLean Events International run innovative three-day meetings where specific industry buyers and suppliers get together, with one-on-one meeting sessions.
One of the keys to success for the events, is the format whereby each delegate draws up a wish list of who they would like to meet at the event from a list of the other delegates. Meetings are then arranged, based on each individual preference.
This event management system was created to simplify this process for the event management team. Not only does the website act as a marketing tool, attracting new business, but the comprehensive back-end application works as an event management tool.
Online event management
Each event that is organised, uses the content-managed front end for the client to control the sales message. Delegates register online and are managed through the booking process by the back-end event management system. With over 12 events a year, this enables quick updates and amendments and streamlines their organisation requirements.
With many of the events taking place abroad, flights and hotel bookings are all managed, with single and blanket e-mail messaging available to help meet project deadlines by keeping delegates in the information loop.
Meeting scheduling
Each registered delegate can access their details online, and the details of the other delegates, to make informed decisions on who they would like to meet at the event. They select a list of meetings, in preferential order, which are combined with every delegate choice to deliver the best meetings for all delegates.
With over 200 delegates each requesting their own meetings, and with some suppliers doubling up, this process that used to take several days by hand. The meeting schedules are now produced in less than an hour.
